Special Olympics Northern California
Car Rental & Gas Rental Reimbursement Policy

The following transportation policy will apply to Special Olympics Northern California (SONorCal) volunteers who transport athletes to or from Regional/Championship competitions, specific fundraising activities or other sanctioned SONorCal events.

1. Volunteers should not accept the additional insurance offered by the car rental agency, unless the volunteer desires to personally pay for the additional cost.
2. Volunteers should rent 7 passenger vans from Enterprise or Hertz whenever possible.
3. Volunteers who use their personal cars for the use of Special Olympics will not be reimbursed for gas or mileage.
4. 12-passenger vans CANNOT be rented under any circumstances. No exceptions. This includes renting a 12-passenger van with the back seat removed.
5. 15-passenger vans CANNOT be rented under any circumstances. No exceptions. This includes renting a 15-passenger van with the back seat removed.
6. SUV’s should be rented for by programs traveling from the Northern part of the state who anticipate winter-weather conditions while traveling with athletes. SONorCal will consider and approve other situations for which an SUV rental may be appropriate.
7. Volunteers MUST the sign the rental agreement with their full name, followed by the words “for Special Olympics.”
